How to write a cover letter

A cover letter is a short, personal message that explains why you are applying and how your experience fits the job. It should add to your CV, not repeat it.

The structure

  1. Header: your details, the date and the employer’s name and address.
  2. Greeting: use a named person if you can find one, otherwise “Dear Hiring Manager”.
  3. Opening paragraph: the role you are applying for and one sentence on why you are a strong match.
  4. Middle paragraph(s): two or three relevant examples of what you have done, linked to the employer’s needs.
  5. Closing paragraph: thank the reader and say you would welcome an interview.
  6. Sign-off: “Yours sincerely” (named person) or “Yours faithfully” (no name) in UK English; “Sincerely” in US English.

An example opening

“I am writing to apply for the Customer Service Advisor role at [Company]. With [X] years’ experience resolving customer queries by phone and email, I am confident I can help your team deliver fast and friendly service.”

Examples are starting points. Only include skills, results and dates that are true for you.

What to include

Mistakes to avoid

Make the letter match your CV

Using the same name, font and style on your CV and letter looks organised. The CVAIGEN builder includes a cover-letter section so both documents match, and you can download each as PDF or Word.

Frequently asked questions

How long should a cover letter be?

Usually half to one page, around 250–350 words.

Do I always need a cover letter?

Not always, but if the advert asks for one, send it. A good letter can set you apart when experience is similar.

Can I reuse the same letter?

Reuse the structure, not the text. Adjust the opening, examples and company details for each application.
